How to Manage the Team of Architectural Studio? In-House or Keeping Freelance

How to Manage the Team of Architectural Studio? In-House or Keeping Freelance

Table of Contents

  1. There is a difference for business owners in how and where teams work, as long as the work is done effectively. After the coronavirus pandemic, many businesses shifted to remote work, and afterward companies started reconsidering whether they should continue working remotely or return to in-house operations. Architectural studios faced the same situation as well.

    1. In-House Team: Stability, Control, and Long-Term Growth

An in-house architectural team gives you full control over quality, communication, and workflow consistency. Designers, project managers, and technical staff work under one roof (physically or remotely), which improves collaboration.

    Advantages:

    • Stronger internal culture and design identity
    • Faster communication between departments
    • Easier quality control and standardization
    • Better knowledge retention across projects

    Challenges:

    • Higher fixed costs (salaries, tools, office space)
    • Limited flexibility during low project seasons
    • Slower scaling when sudden workload spikes occur

    2. Freelance Model: Flexibility and Specialized Talent

Freelancers allow architectural studios to scale quickly without long-term commitments. You can hire BIM specialists, 3D visualizers, or structural consultants for specific phases of a project.

    Advantages:

    • Lower fixed operational costs
    • Access to global specialized talent
    • Easy scaling for peak workloads
    • Faster project staffing

    Challenges:

    • Communication delays across time zones
    • Inconsistent design standards
    • Less control over availability and deadlines
    • Requires strong project management discipline

Freelance teams work best when processes are highly structured and documentation is clear. Without that, coordination issues can quickly reduce productivity. Keeping the team freelance means you may reduce expenses related to salary taxes and long-term employment obligations. In this case, you can simply use available online invoice templates, create invoices, and pay freelancers based on the amount of work they complete.

    3. Hybrid Model: The Most Practical Approach for Modern Studios

Most successful architectural firms today combine both models.

    • Core team stays in-house (design direction, client communication, project leadership)
    • Freelancers support execution-heavy or specialized tasks

This hybrid approach allows studios to stay stable while remaining flexible.

However, hybrid teams require strong digital infrastructure to function efficiently.

Operational Tools That Make Hybrid Teams Work

Even if only part of your team works in-office, a useful desk booking solution helps manage space efficiently. It allows employees to reserve desks in advance, track occupancy, and avoid overcrowding. This is especially useful for architectural studios where teams rotate between remote and office-based work depending on project phases.

Risks of Freelance and Hybrid Models

One of the important things when we speak about hybrid and freelance models is that you may not always be fully sure your client or project data is completely protected. In an in-house model, the work is done inside your office. Even when you compare your business model with this team working models, of course, this does not guarantee total security, but you can manage the situation more closely and better understand how your employees work.

Here, you can do two things.

One option is to use official email communication channels and email marketing platforms like Brevo, where you can have professional email hosting and require all communication and file sharing to be organized through your official domain name.

The second option is using a screen-sharing or screen-monitoring strategy, where you can track the work process when employees use their laptops.

Of course, there are always ways people can avoid strict controls. However, what we can say is that the best long-term approach is working with people who are well-mannered, responsible with their time, and professional in the work they do.

    Final Thought

Ultimately, success is not about choosing between in-house or freelance—it’s about building a system where both can operate seamlessly together.

I'm Everett Kessler, and good design, to me, is less about trends and more about how a room actually lives. A degree in interior architecture gave shape to instincts I'd built over sixteen years on the job. The ideas I share here are ones I've tested in real rooms, on real budgets, whether in my own place or a client's. When I step away from mood boards, I'm restoring old furniture or sketching floor plans. I think good design should feel like you, not a showroom.
